A practical guide to digitising a homeowner community: what to digitise first, in what order, and how to get owners to actually use it.


The short answer: digitising a community is not installing an app and announcing it on the notice board — it is a phased process that starts with the documents, continues with communication and the accounts, and culminates with the day-to-day processes (issues, bookings, votes) running in a private portal. The key to success is not the technology but the order: each phase must deliver a visible benefit to owners before moving on to the next.

The usual starting point

Most communities are already "digitised" in their own way: a saturated WhatsApp group, folders of PDFs on the property manager's computer, scanned minutes and a cork notice board almost nobody reads. It is digitisation without structure — the information exists somewhere, but finding it costs more than asking, and asking saturates the office phone.

The goal is not to add another tool to that list, but to replace dispersion with a single place with private access.

Phase 1: the documents (the foundation of everything)

Nothing works without this phase. Gather and organise the community's living documents:

  • Bylaws and internal rules.
  • Minutes from the meetings of recent years.

It is also the point where the portal wins over the sceptics — it is hard to argue against clear accounts.

Phase 4: the processes

With the foundation laid, digitise the day-to-day flows:

  • Tracked issues: reporting a fault from a phone, with visible status and traceability, instead of lost calls and emails.
  • Facility bookings: padel, gym and common areas with rules that are the same for everyone.
  • Remote meetings and votes: distance participation with identification and an audit trail, especially valuable for non-residents.
  • AI assistant: with the documents from the earlier phases as its base, an assistant answers routine questions 24/7 and in every language.

The three mistakes that sink a digitisation

  1. Starting with the app instead of the content. An empty portal gets opened once and never again. Phase 1's content comes first.
  2. Keeping the old channels as official ones. If important matters are still communicated over WhatsApp "just in case", nobody ever migrates.
  3. Not measuring adoption. How many owners have signed in, what they look up, what they ask the assistant: without that data there is no correcting course.

How long it takes

Less than it seems: phase 1 depends mostly on locating the documents (days, not months), and phases 2 and 3 can start in parallel if the platform connects to the office's real management.
